Scope of Position

The Program Coordinator will be responsible for entering client/service-level data into CWDS, which serves as Montgomery County’s Management Information Systems database. This position will manage and maintain effective record keeping for the EARN Program to ensure data accuracy and compliance with funding sources.

Responsibilities

Essential Functions

  • Enter data into CWDS database system directly from clients or client intake forms
  • Maintain Excel Databases that are fundamental to the EARN program to track client engagement
  • Coordinate with the CAO regarding participants referrals to the EARN Program and track their progress and additional communication with the CAO as needed
  • Complete Enrollments into CWDS when client arrives for Orientation and ensure CAO receives back the necessary documentation to verify client compliance by scanning documents to CAO staff
  • Review and Scan all participant file folders
  • Create SharePoint Client Folders and upload client paperwork to appropriate sections
  • Move paperwork in SharePoint Folders as data entry occurs
  • Track, review for accuracy and enter all client changes of activities, weekly timesheets, monthly paystubs, and program closures
  • Communicate with Program Manager when deficiencies in paperwork present as a continuous problem
  • Use reports to assist EARN Program Manager in tracking EARN Performance Measures and forecast possible outcomes for the program
  • Perform regular data quality checks to ensure data accuracy and compliance with funding sources, as well as federal/state/county regulations
  • Create and distribute list to EARN Career Coaches and managers in areas of data that need focus
  • Respond in a timely manner to requests from the contracting agency on data issues related to client files and program guidelines
  • Provide regular status reports and other requested data for the Program Manager
  • Ensure data entered on the required system(s) is current and accurate
  • Meet deadlines with consistency
  • Attend data meetings as required
  • Perform data reconciliations and complete multiple audits on a monthly basis
  • Other EARN data related tasks, as required by the Program Manager

 

Qualifications

Education and Experience Requirements

  • Associate Degree in business, education, training, human resources, social work, liberal arts or equivalent work experience
  • Must have excellent communication and problem-solving skills
  • Mastery of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Proficient knowledge of Microsoft Excel (charts, graphs, sorting, formatting, formulas, pivot tables)
  • Proficient at Adobe Acrobat and PDF files
  • Working knowledge of SharePoint
  • Must have a high level of organization and time management
  • Able to meet deadlines and manage data received in that timeframe
